What to send

A better first message makes the work easier to scope.

Workstation

For a new or replacement computer

  • Who will use the machine and what work it needs to handle.
  • Current computer model, age, condition, and what is failing or frustrating.
  • Required apps, printers, scanners, drives, accounts, and business files.
  • Any deadline, local pickup needs, or support expectations after deployment.

Recovery

For recovery, backup, or rebuild questions

  • What failed, when it changed, and whether the machine still powers on.
  • Where important files live: Desktop, Documents, Pictures, external drives, cloud folders, or business folders.
  • Any backup tools already in use and the last known successful backup.
  • BitLocker, Microsoft account, admin password, or software license details if available.

Workflow

For process cleanup

  • What currently starts the work and what counts as finished.
  • Where records live now: spreadsheet, email, text messages, paper, forms, apps, or shared folders.
  • Who touches the process and where mistakes or delays happen most often.
  • A small sample of the records or columns involved, with private details removed when needed.

Software

For a focused tool or automation idea

  • The repeated task, how often it happens, and what makes it painful.
  • Inputs, outputs, exports, approvals, and who needs to review the result.
  • Existing tools the software must fit beside, such as Excel, email, bookkeeping tools, or shared drives.
  • What would make the first version useful without turning it into a full platform.

Response expectations
